Job Description

Job Title: Personal Assistant
Reports To: Commercial Director Southern Europe; Sr.Director Europe
Group/Division: Clinical Diagnostics Division (CDD)
Position Location: Milan-Rodano Office
Number of Direct Reports: 0


Position Summary: This position will provide executive administrative support and assist with business critical reporting for the Sr.Director Europe and for Director Southern Europe.

General Administration
Act as a liaison in the support of existing Thermo Fisher Scientific programs and initiatives to meet the ongoing needs of GSM Management:
  • Schedule Calendars, Appointments and Travel for Directors
  • Execute and distribute Meeting Minutes, Memos and General Correspondence (print, electronic and web based applications used)
  • Prepare and submit expense reports
  • Work with staff on functional projects and special reports. Develop and modify new and existing PowerPoint presentations, correspondence and spreadsheet data
  • Organizes high-level meetings and complex domestic and international travel arrangements
  • Performs general office duties; maintains files, distributes mail, orders supplies
  • Support the Italian team with part of the MarCom Activities as back-up
  • Serves as back-up to support business needs of Italy office in case
  • Support in the AOP building in order to consolidate information from Countries
  • Compensation matrix overview and follow up with Regional Directors
  • Support for the Monthly and Quarterly Business review preparation
  • Coordinate and consolidate documents provided from the countries
  • Over time become Project Lead on key implementation projects within CDD


Minimum Requirements/Qualifications: High school diploma. Associates degree preferred.
Four (4) years of progressively responsible administrative experience.

  • Experienced in managing multiple concurrent tasks and meeting rigid deadlines
  • Demonstrated ability to partner with other administrative professionals in order to manage competing needs
  • Must have high-level understanding of the mission, goals and objectives of the executive’s function
  • Must be proficient in spreadsheet, presentation, & mail software such as MS Word, Excel, PowerPoint, Outlook, and general MS Windows operations
  • Must present a high degree of professionalism in both written and verbal communication, as this role is an extension of the functions and the executives
  • Strong problem solving skills and reasoning to solve administrative issues

  • Able to multi-task, meet deadlines, and work independently
  • Able to handle confidential material in a professional manner
  • Able to learn the executives’ primary business objectives, and through this understanding is able to anticipate administrative needs of the executives

  • Must demonstrate strong problem solving skills with the ability to anticipate needs and identify, improve and implement process
  • Handle confidential information with the highest degree of professionalism
