Working within Thermo Fisher Scientific’s Speciality Diagnostic Group, within the Microbiology Division (MBD), as our Sr. Executive Assistant you'll be at the centre of it all. Your stellar skills in office and project management will be the strong support this senior leader needs. You’ll be adept at both discretion/confidentiality and being a great partner across the company. Your mastery of time management, logistics planning, organization, and attention to detail will rival professional planners. Another, yet most important talent you’ll possess – calendaring/travel planning. It’s essential that this executive leader be where he/she needs to be with ease and on time.

How you’ll make a difference:

We’re looking for somebody who wants to make a difference within a global organisation that enables individuals to reach their best through continuous challenges and expansive opportunities. You’ll do this through brilliant coordination as the executive leader’s go-to person for administrative support. You'll keep it all together using your analytical ability to gather and summarize data, make decisions, and find answers. Of course there you'll be privy to sensitive/confidential information so you'll need to use your high-level of discretion. Last but not least, you'll develop a great working relationship with all levels of employees to promote a great team atmosphere, partnership, and to back each other up.

Other key areas you’ll contribute:

· Proactive, dedicated and focused, coordinates meetings and conferences, including logistics, preparation and distribution of materials;

· Skilled at coordinating all aspects of travel arrangements, organizing the booking of flights, hotel and local transportation, providing agendas and itineraries, and arranging passport/visa requirements if necessary;

· Maintains calendars, contacts and reconciliation of travel expenses;

· Manages vendor invoices and supports annual budget process;

· Maintains functional intranet site and regularly updates;

· Learns executive’s primary business objectives and anticipates support needs;

· Operates with a high level of discretion given the sensitive or confidential nature of information;

· Represents the “brand” of the company by developing positive relationships with all levels of employees and by partnering with and backing-up colleagues;

· Curious and in a learning stance. You will research, compile, summarize, and analyse information to formulate correspondence and respond to various inquiries from internal and external customers;

· Able to complete projects and special assignments as assigned by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress and problem-solving.

· Possess superior collaboration skills and ability to drive results in a complex global organization during times of change, evolution, and transformation;

· Demonstrate an adaptive and flexible work style shown to be effective working across varied types of clients, senior level leaders and front line team members;

· Connect with executive administrators in Corporate HQ to create a robust network;

· Able to assess the pulse of the organisation

Experience, Knowledge & Skills

· Strong experience working as an executive assistant in a corporate office environment, large organization experience preferred;

· High degree of professionalism in both written and verbal communication, as this role is an extension of the executive and the function;

· Exceptional organization, multi-tasking and time-management skills;

· Demonstrated project management abilities along with a proactive work style and ability to anticipate and “see around corners”;

· Ability to work independently and develop own processes;

· Flexible and adaptable, with the ability to respond to last-minute changes while maintaining poise and a positive “can do” attitude;

· Skilled and experienced in the art of organization and time management;

· Easily and professionally interacts with varying levels in and outside the organization, as a positive representative of the leadership office;

· Professional, and able to interact successfully with varying levels in and outside the organization;

· Powerful talent with Microsoft Office products, including Word, Excel, PowerPoint, Outlook, and Visio, with willingness and ability to learn company-specific software tools;

· Self-motivated, takes initiative and pride in running a smooth office operation;

· Strong attention to detail


· Bachelor’s degree preferable
