Position Summary:

The Shipping & Receiving Coordinator / Specialist is responsible for the timely processing, coordination, and communication of export and import of orders. This also includes processing, scheduling and coordination of all domestic and international shipments, including invoicing, documentation and transportation. Multitask and prioritize to meet customer requirements while resolving customer issues in a timely manner. This position is also responsible for receipt of incoming materials, including data processing of receipts and physical transfer to stock locations, and verification / inspection for conformance to specifications, comparing quantity and part number of items received with Purchase Order data to ensure completeness and accuracy of order.

In addition, participates in continuous improvement activities including, but not limited to, shipping & receiving, freight management, and inventory management processes to improve planning and execution of orders to enhance customer satisfaction.

Key Duties & Responsibilities:

  • Prepare shipping documentation (International and Domestic).
  • Gather, analyze, and verify shipping documentation meets legal requirements for Global Trade Compliance, including, but not limited to, harmonized tariff classifications, country of origin determination, export license applications, obtaining and reviewing end use statements for exports, and sanctioned party list screening.
  • Interfaces with internal / external customers, foreign subsidiaries, distributors, vendors, brokers and carriers to ensure compliance with all applicable import / export regulations, and expedites transactions as needed.
  • Manage and maintain export/import files and records in accordance with U.S. Government export/import regulations and company policies.
  • Assist in internal export compliance audits, risk assessments, and process improvement plans.
  • Coordinates and prepares freight quotes for all shipments; foreign and domestic
  • Routes shipments via customer request and contacts appropriate carrier to meet customer requirements.
  • Prepare and package products for shipment (includes banding and stretch wrap of larger orders on skids)
  • Loading and unloading of incoming and outgoing shipments, and physical transfer to and from inventory locations.
  • Receiving activities performing all related inventory data transactions and verifying products to the purchase order.
  • Inspect incoming and outgoing shipments to ensure shipments meet specifications, including identification of potential Non-conforming materials.
  • Verifies counts by weighing or measuring items and comparing size, weight, description, and other essential details stated on the invoice or packing slip and purchase orders.
  • Process NCMR transactions, and package products for return to vendors.
  • Adheres to all safety procedures regarding the transportation and storage of goods.
  • Responds to inquiries regarding accounts payable, inventory of goods, delivery receipts, etc., for the purpose of providing requested information and/or referring to appropriate resources.
  • Assists management or drives resolution of problems concerning over shipments, shortages, engineering changes and cancellation of orders.
  • Provide backup to spare parts coordinator and work with accounting to correct PO errors for payment.
  • Participates in cycle count program
  • Other duties as assigned.

    Minimum Requirements/Qualifications:

  • Strong interpersonal, written and verbal communication skills as well as negotiation skills.
  • Proven computer skills in Microsoft Word, Excel and Power Point.
  • Minimum of 3 – 5 years’ experience in Global shipping, receiving, and general warehouse activities in an ISO9001 environment, including preparation of shipping and receiving documentation and data processing activities utilizing ERP applications (MAPICS preferred).
  • Must be able to work independently with little supervision in a fast-paced environment.
  • Meticulous attention to detail, to document findings accurately and concisely and the ability to read and interpret shipping instructions.
  • Must possess an understanding of OSHA safety rules for warehouse work
  • Must be able to obtain and maintain a forklift driver’s license.
  • Physically capable of opening crates and other large containers using hand tools to unpack items received, and must be able to lift up to 40 pounds at a time unassisted.
  • Preferred experience in ISO9001 and Continuous Improvement Initiatives such as Six Sigma, Lean Manufacturing and JIT.
