Our Global Central Labs combines the expertise of a leading CRO, Clinical Research Services with global central labs that are among the world's largest dedicated exclusively to clinical trials.

Responsibilities:

Participates in and supports department projects. Coordinates, supports, and performs logistics and administrative work to support the department.

The “Logistics Coordinator_Proforma” ensures a high level of support, service, reliability, and availability to internal departments.

Ensures efficient and effective operations of the section

As member of the Logistics Team your onsite attendance may be required for (but not limited to) trainings, meetings, daily operational tasks.

Education and Experience

High School diploma or equivalent required and minimum of two years general logistics experience with clinical trials required or equivalent combination of education, training, and experience that provides the individual with the required knowledge, skills, and abilities.

 Knowledge, Skills and Abilities:

  • Excellent client and phone service skills
  • Knowledge of Good Clinical Practices and laboratory principal's pre-analytical, analytic and post-analytic influences on specimens and results Intermediate level of computer literacy
  • Accurate data entry skills
  • Superior analytical, interpersonal and time management skills
  • Excellent verbal communications and customer service skills in the English language - additional languages are an advantage
  • Critical thinking and problem-solving skills to support quality decision making
  • Proven negotiation and problem resolution skills
  • Maintains confidentiality of client protocols and study data

Additional / Specific Job Responsibilities:

  • Reports to Team Lead level or above
  • Facilitates communication with IOR to ensure correct delivery of supply orders to clinical sites.
  • Escalates to Project Manager and/or designee when client/IOR is unresponsive and study timelines are impacted.
  • Participates to Courier operational meetings and reports to Senior Level/Team Lead/Manager any issue or concern.
  • Supporting the Associate Logistics Coordinators_Maintenance with their daily tasks
    • Issue Pro-forma invoice for shipments from kit vendors to sites.
    • Maintains the Proforma mailbox, sending proforma invoices to the IOR for approval, making any changes required and release to kit vendor for shipment.
    • Maintains courier contact sheets and starter packs for couriers.
    • Point of contact for issues and questions related to proforma invoices for supply orders, Starter Packs and Courier Contact Sheets.
    • Assist with training on Proforma invoices, mailbox management and interactions with IOR.
    • Assist with training on Starter Packs and Courier Contact Sheets
  • Responsible for daily interaction with clients/IOR to ensure correct delivery of supply orders to clinical sites.
  • Coordinate the review and action required on custom reports
  • Supports in the investigation and resolution of Quality Events
